Software profile Software for Freelancers

Zoho Invoice

A paid invoicing product that Zoho made free, permanently, with no published limits. For freelancers who only need invoicing, it is hard to argue against.

We may earn a commission when you sign up through links on this page. It never changes what we recommend or the order products appear in — here is exactly how that works.

  5. Who it does not

Zoho Invoice is unusual in this category, and the reason is its history. It spent thirteen years as a paid product before Zoho removed the price entirely, describing it as a gesture to the small business community and committing to keep it free, secure and ad-free permanently.

That matters because most free software in this space is a deliberately limited version of a paid product, built to make you feel the ceiling. This one is the paid product, with the price taken off.

What it does

Zoho publishes a broad feature set for it: invoices and quotes with customisable templates, online payments by card, bank transfer, PayPal and cash, delivery by email, link, WhatsApp or iMessage, payment reminders, a client portal, time tracking and expense capture, financial reports, and apps across web, iOS, Android, macOS and Windows.

For a freelancer, that covers the complete billing chain: quote the job, send the invoice, chase it automatically, take the payment, see what is outstanding. There is no obvious gap where the free version quietly stops.

What it is not

It is not accounting software. It bills; it does not keep your books. Bank reconciliation, expenses set against income, and the reporting a tax return actually needs live in Zoho Books, which is a paid product.

This is the distinction that decides whether Zoho Invoice fits. If your requirement is "send professional invoices and get paid", it is arguably the strongest option available at any price. If your requirement is "understand what I earned after costs", it solves half the problem, and Wave - free, and covering both - becomes the more sensible starting point.

The reasonable scepticism, addressed

Free software invites two fair questions.

Will it stay free? Zoho's statement is unusually explicit and has held since the change. But a public commitment is not a contract, and the sensible protection is the same one you should apply to any tool: confirm you can export your invoices and client records before you have three years of them inside. That is good practice regardless of price.

Why give it away? Because Zoho sells around fifty other products, and a freelancer who bills through Zoho Invoice is a plausible future customer for Zoho Books, CRM or Mail. That is a rational trade rather than a hidden cost - but it is worth entering with your eyes open, particularly if you would rather not be pulled toward a single vendor for everything.

Who it suits

Freelancers and solo businesses whose needs genuinely stop at billing. Consultants, designers, developers and writers invoicing a handful of clients get a mature product for nothing, with no client cap of the kind that makes FreshBooks' entry plan awkward for small-job work.

It also suits anyone who wants to keep billing separate from bookkeeping on purpose - for instance, where an accountant handles the books and simply needs the invoices.

Who it does not

Anyone who wants one system for money in and money out. Anyone already committed to a competing ecosystem. And anyone who needs contracts and proposals in the same chain, for which Bonsai is built.

See how it compares against the rest of the field in the best invoicing software for freelancers.

Strengths and trade-offs

What Zoho Invoice does well

  • Free with no limits published on the product page - unusual in a category where free tiers are normally capped.
  • A mature product with a decade of paid development behind it, rather than a stripped free tier built to upsell.
  • Covers the whole invoicing chain: quotes, invoices, reminders, a client portal, time and expense capture and reporting.
  • Native apps across web, mobile and desktop.

Where Zoho Invoice falls short

  • Invoicing, not accounting - full bookkeeping means Zoho Books, which is a paid product.
  • A free product exists to bring you into an ecosystem; the upgrade path is the business model.
  • No published limits is not the same as a contractual guarantee of no limits.

Questions people ask

Is Zoho Invoice really free forever?

Zoho says so directly: the product was paid for thirteen years and the price was removed as, in their words, a gesture to the small business community, and it will remain free, secure and ad-free permanently. There are no usage limits published on the product page. That is a strong commitment, though a company statement is not a contract.

What is the difference between Zoho Invoice and Zoho Books?

Invoice handles billing - quotes, invoices, payments, reminders. Books is full accounting, including bank reconciliation, expenses against income and tax reporting, and it is a paid product. If you need books rather than bills, Invoice is not the product.

Do I have to use other Zoho products?

No. It works standalone. But the reason a free product exists is to introduce you to a suite, and that is worth going in aware of rather than discovering later.
